About this volunteering opportunity

The secretary keeps track of correspondence and maintains a record of where and how documentation for the Sands Group is stored. They ensure the Group is functioning correctly in its official capacity and provide support to the Chair, which involves:

• Maintaining a Group membership list, with current contact details (including the committee). Group members are anyone who has received support from the Group and asked for their contact details to be kept, so they may be kept up to date with information and vote at the Group’s AGM.
• Handling letters and requests to the Group, reporting all relevant matters to the Chair and committee. Writing and signing letters (coordinating with the Chair), including ‘Thank yous’ for donations.
• Preparing and distributing to the committee, in advance, agendas for committee meetings (business meetings) and AGM (with the Chair). Distribution will also be to Group members for AGM.
• Taking, writing up and distributing minutes of meetings promptly (preferably within two weeks), including notes of any actions that need to be done.
• Keeping a copy of the Sands Group Constitution, minutes of meetings, membership list and other records in a secure place.
• Managing the Group’s email address..

Brighton & Worthing Sands are a local support group offering emotional support, comfort and information if your baby has died during pregnancy, at birth or soon afterwards.

Induction, training and support offered with this opportunity

Support is given from the group chair and network coordinator.

Skills or experience needed for this opportunity

You don't need to have first hand experience of baby loss, but an interest in this area would be helpful

You will need computer skills to create records, minutes and agendas and be comfortable with email. Meetings take place roughly 4 times a year in Shoreham By Sea, West Sussex.
