Post and deliveries
Incoming post
Incoming post is put into groups' pigeonholes at the back of reception. Our receptionist will sign for recorded or registered post and parcels arriving at reception for your group unless requested not to do so. Community Base does not take responsibility for any letters or parcels left at reception even if signed for by our receptionist.
Our franking machine
Our franking machine on the first floor landing allows you to post mail without leaving the building at a cheaper rate than if you used stamps. Here is a quick guide to using the Community Base franking machine. Franked post should be put in one of the open sacks to the left of the franking machine.
Do not attempt to put thick letters or letters with staples through the franking machine as this can cause serious damage to the machine. There are labels on the wall behind the franking machine that you can frank and then stick on parcels, thick letters or letters with staples or paperclips. You should only fill sacks until they are a third full as the Royal Mail will not collect sacks fuller than this. Spare sacks are kept in the silver bin to the left of the open sacks.
If you frank mail after the mail is collected at around 4pm or on a day it is not collected you should take your franked mail to the sorting office in North Road before it shuts at 7pm. This is because mail must be in the hands of the Royal Mail on the day it is franked.
If you use the franking machine for mail weighing more than 2.5kg you need to weigh the post yourself and make sure you use correct postage.
If you are planning a big mailout please tell our receptionist so we can put enough credit on the machine for you.
Brighton and Hove City Council courier service
Groups can use the Brighton and Hove City Council courier service to send mail free to Brighton and Hove Council and other local organisations such as hospitals and courts. Post for the courier service should be put in the blue box under the pigeonholes at the back of reception. It is collected every Monday and Wednesday afternoon. If you want to know more about the courier service ask our receptionist.
Leaving letters or parcels at reception for collection
You can leave letters or parcels for collection at reception for a short period at your own risk. Such parcels should be clearly marked with the name of the carrier due to collect it and the name and address of who it is to be sent to. Letters that have not been collected within two or three days will be put in your group's pigeonhole.
