What does the opportunity involve doing?

What we need:
To provide a frontline reception service to building users and Possability People Services by answering the telephone and emails, meeting and greeting visitors and processing bookings.

Things you can do:
· To provide a welcoming and accessible service that is flexible and independent.

· To be responsible for the smooth running of the Montague House reception; including meeting and greeting visitors and staff in an appropriate manner, booking visitors in and out of the building and distributing car park permits.

· Assist with administrative tasks such as database entry, filing and correspondence, mail-outs, sending out promotional/publicity material.

· Responsible for incoming post, ensuring that the outgoing post is mailed at the end of the day.

· Dealing with telephone, e-mail and face to face enquiries from members of the public, volunteers, community groups and staff, referring more complex issues to appropriate colleagues.

· Taking accurate telephone messages and ensuring messages are passed to the correct member of staff.

· To take bookings and hire out Shopmobility equipment to customers, using our online booking system. Letting the volunteer drivers know of any collections and deliveries.

· To give instruction to customers on using Shopmobility equipment.

· To deliver and/or equipment to and from central Brighton locations if appropriate.

· Dealing with stationery deliveries.

What induction, training and support is offered?

Support:

Each Volunteer will attend a group induction session with the Office & Resources Manager, in order to familiarise themselves with the overall working practices of the organisation and to prepare for their Volunteering role.

Volunteers will have 1:1s every three months with a member of staff and there will also be team meetings and get-togethers throughout the year.

Volunteers always have support from a member of staff and are made to feel welcome as part of Reception and Shopmobility.

· Empathetic to needs of service users without prejudice

· Ability to maintain confidentiality

· Reliability

· Ability to listen and relay information with precision
